JOB SUMMARy: Assist in management of properties in accordance with company policies, procedures and standards.  Develop knowledge and skill in the areas of income/expense management and physical facilities management and customer relations while working with the Property Manager.  Represent Highwoods Properties in a professional manner to customers, vendors and the general public.

 

EDUCATIONAL/EXPERIENCE:

 

·         Bachelors Degree preferred

·         3 years experience in commercial property management preferred

·         Budgeting/reporting experience helpful

 

WORK PERFORMED:                      

 

·         Receive customer requests/concerns and coordinate a timely response

·         Work with vendors (ex. landscaping, janitorial, etc.) under the guidance of an assigned Property Manager

·         Prepare contracts and maintain contract summaries

·         Field, track and respond to customer service requests in a timely and thorough manner

·         Assist in the development of operating and capital budgets

·         Review and code invoices and forward to assigned Property Manager for final approval

·         Follow up with customers for non-payment of miscellaneous charges

·         Assist with the maintenance of Certificate of Insurance (COI) records (receive, route, log)

·         Receive and process fitness center applications

·         Prepare electric meter and miscellaneous service invoices for our customers

·         Coordinate customer overtime HVAC requests and parking

·         Prepare customer monthly billings for overtime HVAC & sub-metered electricity use

·         Prepare various monthly reports & identify budget variances for Property Manager’s approval

·         Assist Property Manager in managing customer move-ins and move-outs

·         Place suite and directory sign orders

·         Assist Property Manager in managing capital improvement projects

·         May participate in conducting quarterly property inspections

·         May participate in conducting monthly janitorial inspections

·         Update current Vendor lists for maintenance

·         Maintain customer contact list

·         Manage BUR process

·         Maintain card access systems and requests for assigned buildings

·         Update and maintain customer Handbooks/Welcome Packages

·         Create correspondence file for new customers and maintain building files

·         Create and distribute memos to customers

·         Share in responsibilities of backing up receptionist during lunches and breaks

·         Other projects may occasionally be assigned by the Property Manager or DAM

JOB PURPOSE

 

The job purpose of the RE Acquisitions Associate is to identify and secure contractually real estate assets for build-to-suit development projects. It includes following through as the primary point of contact with landowners and sellers until the completion of the purchase.

Duties and responsibilities

• Establish deep market knowledge of commercial trade areas in assigned territories
• Develop relationships with local brokers and owners to establish potential opportunities for site acquisitions
• Prepare void analysis and monitor GIS transaction activity in targeted areas.
• Travel to assigned trade areas regularly to validate targeted locations and market conditions
• Prepare/draft Letters of Intent and negotiate terms of the sale with landowners.
• Secure contractual real estate parcels for presentation to clients and potential purchase
• Release and facilitate feasibility through in-house engineering and Development Managers
• Support the preparation of real estate presentation packages for tenant approval process.
• Work directly with Senior Regional Acquisition Manager for growth and individual development

 

QUALIFICATIONS

 

• Bachelor’s Degree in Real Estate, Business, Finance or related field. 
• Experience in retail real estate leasing and development is a positive but not a requirement.   
• Knowledge of Real Estate site acquisition and pipeline process.

• Ability to develop effective negotiating skills including the establishment of terms and pricing of the sale
• Professional communication skills with the development team, clients, subcontractors and landowners.
• Ability to maximize time management and self motivation
